Refund & Cancellation Policy 

General Policy

MWB Academy of Arts maintains a transparent and fair refund structure. 10% of every payment is non-refundable to cover payment processing and administrative fees. This applies to all cancellations initiated by the student.

Refunds for Courses & Workshops

a. Refund Eligibility

Students are eligible for:

  • 90% refund
    If cancellation is requested 7 days or more before the course or workshop start date.
    (10% is the non-refundable admin/processing fee.)

  • 50% refund
    If cancellation is requested up until 24 hours before the course or workshop start date.
    (Refund applies after deducting the 10% non-refundable portion.)

b. Non-Refundable Situations

Refunds will not be granted when:

  • The cancellation request is submitted within 24 hours of the course/workshop start time.

  • The student does not attend sessions.

  • The course is delivered as described.

c. Refund Processing

  • Approved refunds are processed within 10–15 business days.

  • Instead of automatically returning funds to the original payment method, the MWB team will provide the student with a list of available refund or credit options to choose from.

  • The 10% non-refundable fee applies to all student-initiated cancellations.

Transfers & Credit

  • Students may transfer 100% of their payment as full credit to another course with no deductions, if requested at least 3 days before the start date.

  • Credit is valid for 6 months and cannot be converted to cash.

  • Transfers are subject to seat availability.

Cancellations or Rescheduling by MWB

a. MWB-Initiated Cancellation

If MWB cancels a course or workshop for any reason:

  • Students will receive a full 100% refund, with no deductions or fees, OR

  • May choose 100% credit or a full-value transfer.

b. Significant Rescheduling

A course or workshop is considered significantly rescheduled if MWB:

  • Moves the course to a different day, or

  • Changes the session time by more than 2 hours,
    and the change is made without providing at least 10 days’ notice to the student.

In cases of significant rescheduling, students are entitled to:

  • A full 100% refund, OR

  • 100% credit, OR

  • Transfer to another course at full value.

Diploma & Long-Form Programs

  • Once the first session begins, diploma programs become non-refundable.

  • Before the program begins:

    • 90% refund if cancelled 7+ days before

    • 50% refund up to 24 hours before

    • 100% credit if the transfer request is submitted 3+ days before

Events & Private Bookings

  • Deposits for private events, studio rentals, or customized bookings are non-refundable.

  • Rescheduling may be possible with 5 days’ notice, subject to availability.

Emergency Situations – Exceptional Consideration

MWB understands that emergencies occur unexpectedly. Students may request special consideration.

a. What Qualifies as an Emergency

Examples include:

  • Personal or family medical emergencies

  • Urgent travel or sudden family obligations

  • Significant unexpected events preventing attendance

b. How Emergency Requests Are Handled

  • Students should notify MWB as soon as reasonably possible.

  • No proof is required for the first emergency request.

  • After one emergency accommodation within a calendar year, proof may be required for future emergency requests.

c. Possible Outcomes

Depending on the situation, MWB may offer:

  • 100% credit toward a future course

  • Transfer to the next available session at no cost

  • Partial refund, depending on timing and circumstances

Refund Request Procedure

Students must email manager@mwbacademy.org with:

  • Full name

  • Course/workshop title

  • Payment receipt

  • Reason for cancellation

MWB will respond within 3–5 business days.
